Portsmouth Naval Base

I'm currently recruiting for an organised and proactive HR Assistant to join a busy HR team based at Portsmouth Naval Base. This is an excellent opportunity for someone with strong administrative skills who is looking to build on their HR experience within a fast-paced, multi-site environment.

This role is heavily focused on HR administration, supporting the smooth day-to-day running of the HR function and ensuring employee records, systems, and processes are maintained accurately and efficiently.

Key Responsibilities

  • Provide day-to-day administrative support to HR Advisors across multiple locations.
  • Maintain employee records, personnel files, and HR systems, ensuring accuracy and GDPR compliance.
  • Prepare and issue employment contracts, offer letters, onboarding packs, and other HR documentation.
  • Support onboarding and offboarding activities to deliver a seamless employee experience.
  • Manage HR databases and ensure all employee information is up to date.
  • Produce regular and ad hoc HR reports, including headcount, absence, and turnover data.
  • Monitor key HR deadlines, tracking employee lifecycle activities and ensuring actions are completed on time.
  • Manage the HR inbox and respond to employee queries in a professional and timely manner.
  • Support recruitment administration, including interview coordination, candidate communication, offer preparation, and pre-employment checks.
  • Prepare documentation for employee relations processes, including absence management, disciplinary, and grievance cases.
  • Take notes during meetings where required and ensure all documentation is stored appropriately.
  • Organise meetings, training sessions, and HR-related events.
  • Assist with HR projects and process improvement initiatives.

Essential Skills & Experience:

  • Previous experience within an HR Administration, HR Assistant, or administrative support role.
  • Excellent organisational and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office, including Word, Excel, and Outlook.
  • Ability to handle sensitive and confidential information professionally.

Desirable:

  • Experience working within a multi-site organisation.
  • Familiarity with HR systems or HRIS platforms.
  • Understanding of HR processes and employment legislation.
