School Receptionist and Administrative Assistant required for a beautiful independent school in Central London

ASAP start until Mid July 2026

  • Location: Central London
  • Job Type: Full-time - Mon - Friday
  • Salary: £15 per hour

We are seeking a dedicated School Receptionist and Administrative Assistant to join our team. This role is pivotal in providing a warm, professional welcome to all pupils, parents, staff, and visitors, alongside offering robust administrative support to our Headteacher and school staff. The ideal candidate will be adept at managing multiple tasks in a busy environment and committed to upholding our school's standards and policies.

Main Duties and Responsibilities

Reception

  • Provide a warm and professional welcome to all school visitors.
  • Operate the main school telephone line, directing enquiries promptly and appropriately.
  • Manage the reception inbox to ensure clear, courteous, and timely communication.
  • Oversee the signing in of visitors and ensure all safeguarding procedures are followed.
  • Maintain a calm, organised, and presentable reception area.

Administrative Support

  • Offer confidential and efficient administrative support to the Headteacher.
  • Assist the School Business Manager and staff with routine administrative duties.
  • Prepare and collate essential documents such as letters, reports, and schedules.
  • Handle incoming and outgoing mail and maintain accurate pupil records.
  • Support the production and organisation of pupil reports and other documentation.

Operational & Liaison Duties

  • Liaise with the Catering Team for special arrangements and visitor refreshments.
  • Communicate professionally with parents and provide necessary information and assistance.
  • Support the coordination of school events, ensuring administrative arrangements are smooth.

Person Specification

Essential

  • Qualifications: Educated to A-level or equivalent experience.
  • Experience:
    • High-level support in a sensitive environment.
    • Working with young people in an educational setting.
    • Using a wide range of office equipment and ICT software. (MS 365)
    • Admissions processes.
  • Knowledge:
    • School policies including safeguarding, health and safety, and equal opportunities.
    • Proficient in Microsoft Office and database systems.
  • Skills:
    • Excellent verbal and written communication skills.
    • Ability to work effectively with various stakeholders.
    • Strong organisational skills and ability to meet deadlines.
  • Personal Attributes:
    • Strong interpersonal skills, using tact and discretion.
    • Flexible approach to work, including availability for occasional weekend or evening events.
