Property Service Administrator

Role Overview

The role requires a strong understanding of the organisation's brand and positioning, with the ability to confidently represent the business when communicating with guests, property owners, suppliers, and trade professionals.

You will oversee and coordinate daily maintenance activities, ensuring issues are resolved efficiently and communicated clearly to all stakeholders. This includes managing certification schedules, maintaining accurate records, and supporting property management operations to a high standard.

Key Responsibilities

  • Brief the in-house maintenance contractor on the daily jobs list.

  • Handle maintenance issues as they arise, communicating resolutions to guests and property owners promptly.

  • Follow through on all issues to ensure positive outcomes, updating reservations teams and owners in a timely manner.

  • Ensure all property certification is kept up to date, filed correctly, and reviewed regularly to meet legal requirements.

  • Record maintenance activities from start to completion using the internal maintenance system.

  • Maintain accurate records of property management tasks (e.g., window cleaning, gardening) and ensure standards are upheld.

  • Participate in the out-of-hours emergency phone rota.

  • Represent the brand with professionalism, sensitivity, and a solutions-focused approach.

  • Provide prompt, efficient responses to guests, owners, suppliers, and trade contacts at all times.

  • Obtain owner approval for works where required, including gathering costings in advance.

  • Liaise with owners regarding upcoming certificate renewals and schedule works accordingly.

  • Support the Property Services Manager with owner communication and coordination with third-party suppliers.

  • Report completion of property management tasks and raise owner charges where necessary.

  • Deliver consistently high standards of customer care.

Key Skills & Attributes

  • Confident IT skills, including familiarity with Microsoft Office applications.

  • Experience with CRM software (preferred but not essential).

  • Strong communication skills with the ability to liaise confidently with guests and owners, including high-net-worth individuals.

  • Highly organised, motivated, and able to work both independently and as part of a team.

  • Enjoys problem-solving and thrives in a varied role.

  • Full UK driving licence.

Role Specifics

  • Employment Type: Full-time

  • Working Pattern: 5 days per week, Monday to Saturday (Working every other Saturday)

  • Hours: 9:00am - 5:30pm

  • Holiday Entitlement: 28 days

  • Salary: £28,000 per annum
