Job Description

Responsible to Head of Facilities and Health and Safety

Hours of work 35 hours per week

Place of work Martin House and in the Community

Overall purpose of the role

To support the Head of Facilities and Health and Safety.

To ensure all Martin House buildings, grounds, fixtures and fittings, equipment and vehicles are maintained in line with current legislation and best practice.

To coordinate maintenance works safely and effectively across the organisation, ensuring continuity of core-services and delivering high standards.

To ensure that maintenance schedules are up to date and in line with current legislation.

Tasks and duties

People Management

To manage the maintenance operatives and gardener on a daily basis and undertake team meetings, one to one meetings and appraisals.
To manage the maintenance team rota fairly, ensuring that the hospice always has an appropriate level of maintenance cover seven days a week including Bank Holidays.
To work one weekend in four dealing with unforeseen problems relating to hospice premises, grounds, shops and vehicles.
To provide weekend cover when maintenance staff are on annual leave or off sick
In the absence of staff from the team, undertake critical tasks to ensure the continued provision of a high quality service.
Ensure the team undertake mandatory training required for their job roles in line with the organisations policies and procedures

Vehicle/Fleet Management

Ensure vehicles are maintained in line with legislation and have a valid MOT, service, weekly inspection and Tax.
Ensure any reactive or remedial works are carried out in a timely fashion.
To supervise the regular team of volunteers who assist the maintenance department with vehicle maintenance.

Record keeping

To ensure all maintenance service, repair and inspection records are stored correctly and any recommendations are escalated to the head of facilities and health and safety.
To assist with mapping services, plant and equipment.
To ensure drawings and manuals are updated following maintenance works.

Maintenance

To contribute to the preparation of maintenance programmes in liaison with the head of facilities and health and safety to ensure the best use of resources within defined limits.
To ensure all planned preventative maintenance is carried out and recommendations are recorded and appropriately actioned.
To ensure all Martin House buildings, fixtures & fittings, vehicles and equipment are maintained to a high standard in accordance with current legislation, policies and procedures.
To be responsible for the planned and reactive maintenance of all of the organisation's buildings, both internally and externally.
To ensure all the children's play equipment is maintained to a high standard in line with current legislation and approved codes of practice.

Health and Safety

To manage the maintenance team staff and volunteers to assist Martin House in meeting its requirements under health and safety legislation.
To help implement the operational policies and procedures specific to facilities management and health and safety.
Support managers in preventing accidents, injuries and health problems as well as promoting wellbeing in the workplace across the organisation.
To assist the head of facilities and health and safety.
Ensure the fire alarm system is tested and drills are carried out at the Hospice in line with current legislation.
To ensure the maintenance team keep all car parks and footpaths free of ice and snow during periods of adverse weather, and provide cover for the team in their absence (This will mean a 7am start to clear main areas before staff arrive).
To meet monthly with the head of facilities and health and safety to update on progression of action plans and report on team performance.
To discuss health and safety as an agenda item at maintenance team meetings.
Carry out "toolbox talks" with the maintenance team including volunteers.
To ensure risk assessments are available for all maintenance activities and are reviewed and updated in line with Martin House policies.

Budget Management

To source and manage competitively priced quotes for equipment and services as requested by facilities and health and safety manager, ensuring value for money.
These should be managed in line with our procurement policy and have an influence on the budget.

Contractor Management

To co-ordinate all maintenance works across the organisation and ensure compliance against legislation and internal policy and procedures.
To develop working relationships with contractors to ensure the provision of a quality service which demonstrates value for money and corporate governance arrangements.

General

To undertake other duties commensurate with the general level of responsibility of the post.

Health & Safety

To be aware of the safety needs of the children, siblings, parents and colleagues and adopt a preventative safety approach to all times.
To report all accidents incidents and untoward incidents to a Deputy Head of Care and Clinical Services.
To be aware of your health and safety responsibilities as an employee and adhere to these.

Personal development

To adopt a positive and reflective approach to personal and professional development.
To participate constructively in a yearly annual appraisal.
To undertake core competencies for clinical skills and specific training and to remain updated.
To work in conjunction with the education co-ordinators to develop your practice and care for the children.
To work contracted hours including unsocial hours as required weekends evenings and nights.

This job description reflects the present requirements of the post and will form the basis of performance appraisal. As duties and responsibilities change and develop the job description will be reviewed and necessary changes made with consultation.

Employees may be required to drive a Martin House pool car. These cars are insured by Martin House and it is a requirement of the insurers that we have checked that any staff who drive the cars have a current driving licence.
