About the role

Our client is looking for an organised and proactive person to provide business support across their company. This varied role combines office coordination with maintaining shared documents, preparing reports, and supporting client requirements and audits.

You will work closely with managers and colleagues to keep information organised, keep tasks progressing, and keep the office running smoothly, while helping improve systems and ways of working.

Key responsibilities

  • Provide business support to managers and teams, preparing correspondence, meeting documents, and business updates, and following up agreed actions.
  • Set up and maintain shared drives and Microsoft Teams folders, using clear filing structures, templates, and version control.
  • Complete client and supplier questionnaires, gathering responses and supporting documents from the relevant departments.
  • Prepare documents for internal and external audits, helping keep company policies, certificates, and records up to date.
  • Create and maintain business reports, spreadsheets, and trackers, using Excel to check accuracy, review information and highlight trends or discrepancies.
  • Support improvements to business processes and help colleagues adopt consistent ways of working.
  • Cover reception, welcome visitors, answer incoming calls and direct enquiries to the appropriate person.
  • Monitor and order stationery and office supplies.
  • Coordinate meeting room bookings, prepare rooms and arrange refreshments, ensuring rooms are presentable and ready for use.
  • Handle confidential information with discretion.

Skills and experience

  • Experience in business support, office coordination, or a similarly varied role.
  • Advanced proficiency in Microsoft Word, Outlook, Teams, and Excel, with the ability to develop professional documents, organise shared information systems, and create and analyse spreadsheets using formulas, lookups, and pivot tables.
  • Strong organisational and communication skills, with the ability to work across departments and manage competing priorities.
  • Good attention to detail and confidence preparing professional documents.
  • A proactive, dependable approach, with the ability to use initiative and follow tasks through to completion.
  • Experience with document management, questionnaires or audit preparation would be beneficial.

The person

Approachable and practical, you will enjoy supporting others, bringing structure to a busy environment, and learning new systems as the business develops.
