About The Role
We're looking for an organised, proactive, and customer-focused Operations Support Administrator to join our Group Operational Support Team within Ipsum
In this role, you'll provide essential support across our operational business units, helping to ensure training, certification and compliance requirements are effectively managed. You'll work closely with Contract Managers, Operations and SHEQ teams, as well as external training providers, to keep everything running smoothly and to the high standards our business expects.

As an Operations Support Administrator, you will:
- Coordinate training activities, maintaining compliance standards, and ensuring certification requirements are met.
- Work closely with Contract Managers and Operations teams to schedule training and keep training records and requirements up to date.
- Oversee training programmes and manage training schedules in line with company policies and operational requirements.
- Maintain regular contact with operational teams, providing updates on training and certification requirements.
- Schedule and coordinate training activities, including booking trainers, venues, and other resources.
- Work collaboratively with Operations and the SHEQ team to ensure training and certification requirements are consistently achieved.
- Coordinate with external training suppliers and maintain effective working relationships.
- Enter audit and inspection report data onto company systems accurately and within required timescales.
- Arrange purchase orders where required to support departmental and business activities.
- Provide general administrative support to help deliver effective and efficient departmental services.
- Identify opportunities for continuous improvement and contribute to making our operational support processes more efficient.
About You
We're looking for someone who is highly organised, proactive, and customer-focused, with a positive attitude and a genuine desire to deliver a high-quality service. You'll be confident managing multiple priorities, communicating with a range of stakeholders and ensuring that important information and deadlines are kept on track.
- 5 GCSEs at Grade 4-9 (A-C), or equivalent
- Previous experience working within the Utilities or Construction industry is desirable.
- Proficiency in Microsoft Office, particularly Excel, Word, and PowerPoint.
- Experience using SharePoint.
- Excellent organisational and time-management skills.
- Strong communication and interpersonal skills.
- A proactive approach, with the ability to work independently and as part of a wider team.
- A strong eye for detail and commitment to maintaining accurate records.
- A customer-focused approach and a willingness to continuously improve processes and ways of working.
