Job Description

At Chemify, we are digitizing chemistry to speed up the development of life saving drugs and innovative materials. We ae seeking a highly organized and proactive Executive Assistant to provide mission critical support to our C level leadership team.

In this role, you will act as a strategic partnerfor our executives, managing complex global calendars, streamlining high stakes communications, and ensuring operational excellence across the leadership tier. You will be a primary point of contact for internal and external stakeholders, handling sensitive information with the utmost discretion and integrity.

Key Responsibilities Executive Support
  • Manage complex calendars and schedule meetings across time zones
  • Coordinate domestic and international travel (itineraries, hotels, expenses)
  • Prepare meeting agendas, presentations, reports, and briefing materials
  • Attend meetings when needed, take minutes, and track action items
Communication & Coordination
  • Serve as a main point of contact for internal and external stakeholders
  • Handle sensitive information with discretion
  • Screen and prioritize emails, calls, and messages
  • Draft, review, and edit communications on behalf of executives
  • Build strong relationships with internal teams to promote collaboration and information flow.
Operational & Strategic Support
  • Support executive level projects and cross functional initiatives
  • Organise board meetings, executive offsites, and leadership events
  • Track deadlines, commitments, and follow ups for senior leaders
  • Assist with improving processes and workflows
  • Demonstrates strong decision making skills based on sound judgment and available information.
Administrative & Office Management
  • Maintain organised digital and physical filing systems
  • Complete ad hoc tasks and special projects as assigned
Required Qualifications
  • Experience as an Executive Assistant supporting C level or senior leaders
  • Excellent organizational and time management skills
  • Strong written and verbal communication skills
  • Professionalism, integrity, and discretion
  • Ability to anticipate needs and work independently
  • Proficiency in Microsoft Office and/or Google Workspace
Preferred Qualifications
  • Bachelor's degree or equivalent experience
  • Experience in a fast paced, high growth environment
  • Familiarity with board governance and executive reporting
  • Experience supporting multiple executives
  • Strong judgment and problem solving

  • Excellent interpersonal skills
