Receptionist - Dee Valley Medical Practice

We are a dynamic training practice that values teamwork supporting approximately 7000 patients from two sites; the charming villages of Overton and Bangor-on-Dee (Dispensary).

Dee Valley Medical Practice is seeking to appoint a Temporary Part-Time Receptionist for maternity cover to join our existing team for up to 22 hours per week for one year, although opportunity to become permanent may be available towards end of the term. The role includes staffing our front desk and extensive use of telephone where the successful candidate will act as initial contact for patients managing requests, care of Dr-patient administration including appointments, processing prescriptions, arranging home visits etc The successful candidate will be able to demonstrate strong customer service skills gained from a busy, demanding environment.

We will be pleased to accept applications from both experienced receptionists and also from trainees who can demonstrate previous experience working in a high tempo environment requiring accuracy and diligence.

Membership of the NHS Pension scheme.

Main duties of the job

To ensure that the reception area of the Practice runs smoothly, provides a high level of service to patients, doctors, nurses and other members of the Practice team.

About us

Our main surgery is in the village of Overton on Dee, 7 miles outside Wrexham, near the North Shropshire border. We moved into new premises on this site in January 2006 and share the site with Rowlands Pharmacy and some of the Community Nursing team. We have 7000 patients on our list covering a large geographical area including into North Shropshire. We have a branch Surgery/Dispensary in Bangor on Dee, a couple of miles from Overton. There are two Partner GPs and as a training practice we usually have two GPST complimenting our team. We have a strong nursing team led by a very experienced ANP supported by a nurse practitioner, 3 nurses and 2 HCA.

Job responsibilities Reception Counter Duties
  • 1. Providing customer service for patients and visitors at Reception Front Desk.
  • 2. Making appointments
  • 3. Taking requests for prescriptions
  • 4. Giving out results
  • 5. Ambulance transport bookings
  • 6. Home visit requests
  • 7. Deal with general enquiries and complaints
  • 8. Contacting other providers
Telephone Duties
  • 9. Register new patients and temporary residents
  • 10. Greet and direct patients and visitors
  • 11. Making appointments
  • 12. Handing out prescriptions
  • 13. Ensure outstanding queries are explained and handed over to next shift, as necessary
  • 14. Respond to needs of doctors and nurses during surgery
  • 15. Collect payments from patients for non-NHS services
  • 16. Deal with general enquiries and complaints
Prescriptions
  • 17. Dealing with requests for repeat prescriptions
  • 18. Raising prescriptions as per Practice protocols
  • 19. Dealing with queries relating to repeat prescriptions
General
  • 20. Input and extract information from Practice computer system
  • 21. Observe health and safety guidelines at all times
  • 22. General housekeeping (e.g. keeping reception and waiting areas tidy)
  • 23. Make refreshments for doctors and other team members, participate in washing up
  • 24. Any other reasonable duties as necessary
Person Specification Experience
  • Experience of working with the general public
  • Experience of reception work
  • Experience of working within General Practice
Knowledge and Skills
  • Excellent communication skills (Written and Oral)

Qualifications
  • GCSE Mathematics C or above
  • GCSE English C or above
  • NVQII in Customer Care
  • CLAIT Qualification
