Job Description

As a key member of the Special Care Dental service you will be the first point of contact for our vulnerable patients.

You will ensure that dental patients' appointments are appropriately scheduled, rescheduled, or cancelled, depending on the needs of the patients.

Greeting and welcoming patients and visitors to the clinic.

Ensuring that all patients and visitors are dealt with in a professional and helpful manner using warmth and empathy.

Performing general office duties such as answering telephones, scanning and filing notes.

Undertake other duties that may occur from time to time as directed by senior management.

Main duties of the job

Our Special Care Dental service requires an administrator to work at our Dental clinic.

You will need to have excellent communication and IT skills and work in an organised manner so as to ensure all the administrative tasks are completed in a timely fashion.

You will work closely with the Senior Dental Nurse and clinical staff to ensure smooth running of the clinic.

Scheduling, rescheduling, or cancelling appointments as needed including arranging emergency appointments for patients who have infection or pain. Assisting patients to fill out information forms.

Dealing with telephone enquiries.

Previous experience of working with dental software is desirable.

Education
  • GCSE English and Maths or equivalent
  • Computer Literate
Experience and Knowledge
  • Administrative/clerical experience
  • Working knowledge of Word, Excel, E mail and Internet
  • Working knowledge of office technology, i.e. scanning, photocopies, switchboard, etc.
  • Experience of using electronic and paper based diary / appointment systems
  • Used Dental electronic booking systems
  • Evidence working as part of a team
  • Experience working with Systmone
Skills and Abilities
  • Ability to communicate clearly by telephone and face to face with a range of people including patients, health professionals and the public
  • An understanding of adults and children with a range of special care needs
Other
  • Hold a full, valid, UK driving licence and have access to a car to use for business purposes (unless you have a disability as defined by the Equality Act 2010)
