About The Role

Shift Pattern: Monday until Friday 09:00 - 17:00

We're looking for a highly organised, proactive PPM Scheduler to take ownership of our Planned Preventative maintenance programme across a prestigious West End portfolio.

This isn't just a diary management role. It's about protecting compliance, coordinating multiple stakeholders, and ensuring our Core and Beyond Compliance metrics remain on track at all times.

You'll sit at the centre of our Technical Services operation, working closely with Engineers, Service Partners, Estate Teams and Tenants to ensure statutory and contractual maintenance is delivered on time, properly documented and audit ready.

We're after someone who brings energy to the day, thrives on structure, communicates confidently and understands that strong administration underpins world class service delivery.

It's not about ticking every box, it's about ownership, attention to detail and the right mindset.

Roles & Responsibilities (Not Exhaustive)
  • Full scheduling and coordination of all externally delivered PPM works.
  • Programming works in line with statutory and contractual frequencies.
  • Tracking performance against Core and Beyond Compliance metrics.
  • Proactively preventing overdue compliance items.
  • Maintaining a rolling forward planner of upcoming maintenance.
  • Arranging access with commercial, retail, F&B and residential occupiers.
  • Issuing notifications and coordinating attendance in live trading environments.
  • Resolving access challenges before they impact compliance.
  • Acting as the key liaison between tenants and service partners for PPM activity.
  • Raising and managing PPM remedials in CAFM, supporting these through to completion.
  • Ensuring service sheets and statutory certificates are uploaded and validated.
  • Reviewing documentation for accuracy before closure.
  • Maintaining clean, audit ready data across: CAFM, Risk management platforms, Tenant portals.
  • Supporting compliance reporting and KPI tracking.
Desirable Experience
  • Facilities Management or property experience.
  • Exposure to CAFM systems (e.g. Concept Evolution/MRI GO or similar).
  • Exposure to Risk Compliance Platforms (e.g. Vantify/RiskWise or similar).
  • Understanding of statutory compliance disciplines (Fire, Water Hygiene, HVAC, Electrical etc.).
  • Experience coordinating Service Partners (contractors).
  • Strong Excel and reporting skills.
  • Candidates with experience scheduling multiple workstreams with a background in housing, private, social etc.
Essential Experience
  • Must have Right to Work in the UK.
  • IT Proficient, MS Office/competent across all applications.
  • Two professional references required.
