Overview

West Midlands Ambulance Service University NHS Foundation Trust - Fleet Stores Person opportunity at the Hollymoor Hub.

The closing date is 23 February 2026.

Responsibilities
  • Be responsible for the Fleet Stores at appointed locations. To purchase and maintain stock, both imprest and owned.
  • Input and oversee the administration for stores and Workshop paperwork via the Fleetwave system.
  • Purchase, receive and process orders for all Workshops within the Fleet locality.
  • Forecast and order spares for the Workshops using knowledge to obtain preferable costs and delivery.
  • Receive requests from Engineers, Workshop Chargehands, Operational staff for parts (stock and special orders), raise appropriate orders and ensure prompt delivery from suppliers.
  • Receive spares from suppliers and distribute to Workshops or Stores, including one-off items for vehicle modifications.
  • Check deliveries/invoices for discrepancies before inputting on the computer system.
  • Sign off goods receipt orders and parts for payment; correct any discrepancies with suppliers (including surcharges & credit returns).
  • Maintain stock control on the Fleetwave System. Produce accurate reports relating to parts spend, usage and stock held (owned and imprest).
  • Implement and control Imprest stock systems and ensure terms & conditions are adhered to.
  • Ensure all parts comply with supplier warranty procedures/terms. Control & monitor the use of consumables.
  • Coordinate and ensure all relevant Fleet invoices are recharged to the appropriate departments and account codes.
  • Identify obsolete stock and implement disposal procedures in line with WMAS financial instructions/practices.
  • Read and understand Suppliers CD Parts Catalogues and Internet Ordering Systems.
  • Comply with the Trust's Policy, BSI Procedures and Health & Safety regulations, including safe systems of work.
  • Recommend and implement policy and procedure changes within the Stores Department as required by the Fleet Manager.
  • Move heavy spares and units by hand or mechanical lifting equipment (e.g., batteries, gearboxes, engines).
  • Provide administrative support to Fleet staff and adhere to Trust IT security guidelines and data protection protocols.
  • Collect/deliver spares to workshop locations as required; take responsibility for stock security and conduct regular audits.
  • Organise own workload with little supervision; handle incoming/outgoing telephone, email and fax inquiries; attend Workshop Team Briefings.
Person Specification
  • Must be able to work in the UK without need for sponsorship
Skills and Knowledge
  • Full UK driving licence including full category C1 entitlement
Experience
  • Previous knowledge of stock control systems
  • Computer literate with a good knowledge of Windows operating system
  • Previous experience of vehicle engineering, with understanding of technical aspects of vehicle repair & maintenance, particularly component functionality
Qualifications
  • Minimum of 3 GCSEs at Grade C/4 or above including English (or equivalent)
