About the role We're seeking an exceptional executive assistant to partner with our chief operating officer from our London office. This is a high impact position where you'll serve as a strategic extension of the C Suite, orchestrating complex schedules, facilitating seamless communication, and ensuring every minute of their time drives maximum value for the organization. You'll collaborate closely with our U.S. based executive support team, serving as the primary London hub for scheduling, logistics, and coordination. When our COO is in the UK, you're their anchor. You'll need to be available to work from our London office as required to support our executives effectively. What you'll do Complex calendar management: manage the COO's dynamic schedules both internally and externally, understanding key priorities to strategically organize meetings and commitments. International & domestic travel: book and plan all logistics for the COO's travel, including flights, hotels, ground transportation. Daily agenda & briefings: ensure the COO's daily agenda is updated and collaborate with internal teams to include comprehensive prep sheets and background information for all external meetings. Event & conference support: provide EMEA on site support at in person events and conferences, ensuring seamless logistical execution. Inbox management & correspondence triage the COO's inbox send prioritize messages, and draft emails on the COO's behalf to ensure timely, professional, and aligned responses. Stakeholder coordination: serve as the key liaison with internal and external stakeholders to support the COO schedules and regional priorities. What you need You have 5+ years of experience as an administrative professional supporting a C level executive, in a fast paced, high growth technology company. You are located in London and able to work in a hybrid model, coming into our London office as needed. You have proven experience with heavy calendar management and booking complex international travel. You build and maintain relationships externally with admins and executives. You are highly proficient in Google Workspace and can quickly master new tools. You possess exceptional organizational and time management skills, with an ability to prioritize effectively among competing demands. Regulatory & Stakeholder Engagement Act as a key point of contact for legal and governance matters with regulators, auditors, and external advisers. Work closely with Risk & Compliance to support interpretation and implementation of regulatory requirements and supervisory expectations. Contribute to Board papers and regulatory submissions where legal or governance input is required. Risk, Conduct & Culture Identify, assess, and manage legal and governance risks in line with the Society's Risk Management Framework and Risk Appetite. Support a strong conduct and customer focused culture, ensuring legal advice and governance practices align with the Society's purpose and values. Contribute to policy development, review, and proportionate second line assurance activity where appropriate. Build effective relationships across the Society, acting as a trusted adviser and constructive challenger. Support training and awareness initiatives for the Board and colleagues on legal, governance, and regulatory matters. Contribute to the ongoing development of the Society's legal and governance capability as the organisation grows and evolves. Person Specification Qualifications & Knowledge Qualified solicitor or barrister in England & Wales (or equivalent). A qualification, certification, or professional training in corporate governance, company secretarial practice, or board governance (e.g. through recognised professional bodies). Experience Significant post qualification experience (PQE) as a solicitor, ideally providing practical and proportionate legal advice on complex commercial, corporate and/or regulatory matters. Experience of advising senior management and/or Boards, demonstrating sound judgement and the ability to balance legal risk with commercial objectives. Ability to provide clear, precise and practical legal advice, effectively articulating what is relevant and important in a concise and accessible manner. Desirable Experience operating within a regulated financial services environment, ideally advising on savings and/or lending products (including propositions for business customers), and the associated legal, regulatory and conduct considerations. Company Secretarial experience, including board and committee support, governance frameworks and regulatory engagement. Experience supporting business change, outsourcing arrangements, supplier contracts and third party risk management. Experience managing relationships with external legal advisors, including coordinating specialist advice and achieving value for money outcomes. Skills and abilities Proven ability to influence senior stakeholders Strong leadership capability, with experience developing teams, fostering collaboration, and promoting constructive challenge Ability to communicate complex legal issues, clearly, pragmatically, and proportionally to non legal stakeholders A Basic DBS check will be undertaken upon an offer of employment.
