The Role - Voids Administrator

We are currently looking for a Voids Administrator; this role will offer the flexibility to work from home.

We are offering the opportunity for someone to join our team to coordinate works in the delivery of void properties ensuring new properties added to our portfolio are refurbished to standard, within timescales and provide excellent customer service to all of our customers.

Duties/Key Responsibilities

  • Liaise with customers and contractors. Deliver excellent customer service at all times
  • Assess survey and inspections reports to produce works orders in line with required property standards. Send appropriate correspondence. Complete appropriate administrative tasks.
  • Create Pre nominations/ NOA's to send to the local authorities
  • Liaise with the Quantity Surveyor and contractors to book inspection visits
  • Co-ordinate and monitor contractors effectively to ensure works are completed to standard and within set timescales.
  • Ensure that all properties are fully complaint with EPC, GAS Safe, EICR, PAT and Asbestos Reports and ensure that there is a clear audit trail.
  • Review contractor, council and utility invoices and works orders for accuracy.
  • Maintain and update our internal and external stakeholders as well as IT systems; including Reapit, Microsoft & Outlook.
  • Deal with routine queries by email, telephone, letter and face to face. Liaise with Tenants and contractors. Deliver excellent customer service at all times in accordance with Orchard & Shipman policies and procedures.

Skills

  • Working in a fast paced, customer led environment delivering front line services by telephone, email etc (E)
  • Following and working to strict procedures and timescales (E)
  • Dealings with building contractors (D)
  • Has worked for either an accommodation or customer service business previously (D)
