Job description

The Business Support Unit reports to the Business Support Partner and is part of the Directorate of His Majesty's Coastguard (HMCG). The business unit consists of a team of administrative staff providing support to HMCG outstations. Based in Aberdeen the teams purpose is to provide consistent business support and Estates services across the different business areas (Maritime Operations - Joint Rescue Co-ordination Centre (JRCC), Maritime Rescue Co-ordination Centres (MRCCs) & Coastal Operations - Divisions, and the entire MCA Estate).

You will work closely with a small, dynamic team providing dedicated administrative support nationally across the JRCC, MRCCs and Coastal Divisions ensuring the promulgation of best practice and consistency by working closely with colleagues across MCA and in particular colleagues in HQ HMCG.

Responsible for payroll data input, ensuring that Coastguard Volunteers (CROs) personal data and claims are processed accurately and timeously.

Working collaboratively with team colleagues and internal customers to ensure quality, timescales and standards are met. Provide support to Operational staff and site colleagues on all reactive estates matters. Working collaboratively with our Facility Management Provider and HQ Estates colleagues.

Additional Information

This role will be based in Aberdeen. MCA supports flexible working and operates a hybrid working model between home and office for this role, giving you greater flexibility over where and when you work. Details of the arrangement will be discussed further with your line manager.

Responsibilities

Your responsibilities will include, but will not be limited to:

• Processing Coastguard application data and inputting Coastguard Volunteer payroll (CRO), ensuring accuracy standards are met and payroll time-lines are achieved. Collaborating with Coastal Operations colleagues to support timely and accurate submission of claims and payroll amendments. Championing best practice and consistency across Coastguard Divisions.
• Delivering administrative support to all MCA colleagues on Reactive Estates matters, working collaboratively with our Facility Management Provider to escalate concerns and work towards solutions. Researching and delivering alternative off contract solutions (where required) adhering to Finance and Governance Guidance
• Providing a procurement service, ensuring invoices are entered into the shared services system accurately and timeously, adhering to Finance & Governance guidance
