The Role - Property Manager

To help the company create the maximum number of sustainable tenancies by working with the Regional Manager to help maximise the number of properties being taken on and to help optimise our property management services to improve efficiency and profitability and enhance our relationship with all stakeholders. This role is home based with requirement to drive out to sites covering the East Anglia/South East region.

Key Responsibilities/Duties

  • Ensure all landlord & tenant enquiries via telephone, web, email etc. are logged on the internal IT system & appointments booked in the diary.
  • Match marketed properties to suit tenant requirements.
  • Complete a visual inspection checklist and advise landlord on improvements required that will promote lettings.
  • Check property suitability with scheme if appropriate.
  • Prepare property files & administer property/ landlord set-up on the system
  • Manage property works progression with landlords / contractors to ensure property is ready to let as early as possible.
  • Attend property visit with the potential landlord and confirm works requested on checklist have been completed to required standard. Create inventory of property and agree rental payment.
  • Ensure all properties are effectively and promptly marketed to enable lettings to be achieved in timescales.
  • Ensure property details including floor- plans and other marketing information are prepared and loaded on marketing systems e.g. Rightmove, website etc.
  • Ensure 'To Let' board is ordered & set up if required.
  • Attend viewing appointments & secure appropriate offers to meet landlord instructions.
  • Provide regular feedback to landlords regarding progress in securing a tenancy, agreeing the action/s that need to be taken in order to minimise voids and optimise their income.
  • Complete applications to let from potential tenants once offer agreed.
  • Gather all necessary information and tenancy paperwork to ensure tenancy administration can be achieved fully and speedily.
  • Carry out move-ins and induct tenants to the accommodation using the Induction Briefing Pack. Provide tenants with key contacts within local authorities and Pinnacle Group. Identify any support needs for our tenants.
  • Carry out the following routine visits: Settling in visits, inspections, breach of occupancy resolution and end of occupancy. Identify if current property is unsuitable for tenants to remain in. Liaise with local authority and advise if transfer request successful.
  • Ensure the accommodation meets acceptable letting standard. Note any disrepair to property and make any recommendations on liability as per lease. Liaise with landlord where repairs are required by them. Coordinate repairs via Customer Support Team.
  • Organise and attend evictions where required. Liaise with local authority and customer service team. Arrange locksmith etc.
  • Working with the Customer Service Team Leader arrange for suitable hand back of the property to the landlord. Ensure dilapidation obligations are met.
  • General administrative and any other duties as required.
  • Cooperate with and where appropriate assist other business areas.
  • Manage relationship with landlords throughout lease. Aim to retain 75% of all owners at lease end.
  • Attend hand back of properties at end of lease and agree compensation payments if required for damages or works prior to hand back.
  • Ensure the effective execution and implementation of operational processes, systems and standards (in relation to maintenance, health and safety, environmental policies or general duty of care) such that the properties are safe for Service Users.
  • Maintain and monitor the company communication mailboxes
  • Monitor, maintain and acknowledge complaints; managing the Pinnacle Group complaints process from beginning to end
  • Understand the importance of targets, the role they play within sales and property management and what needs to happen to achieve them.
  • Ensure the cost effectiveness of the individual portfolio with regard to income maximisation, repairs and voids.
  • Run and monitor daily progress reports, ensure these are updated and the details are logged on the internal IT systems.
  • Provide accurate and timely reports.
  • Complete business/client reports where applicable.
  • Build and develop a partnership way of working with landlord suppliers and third sector agencies to effectively achieve the required business performance.
  • Respond to landlord, tenants and corporate clients via email, letter, telephone and face to face enquiries. Investigate complaints as per Pinnacle Group policy and resolve issues if upheld.
  • Conduct business in an honest, transparent manner and in accord with company vision and values.
  • Build long lasting profitable relations with landlords, with aim of networking to maximise new business opportunities.
