What does a great Executive Assistant do? An Executive Assistant at Travelport in this role will be supporting senior executives based in our offices in Barcelona and the UK
Responsibilities include: - Manage calendars to ensure there is no overlapping meetings or conflicts
- Successfully arrange and schedule meetings, video conferences, WebEx, and conference calls
- Process expense reports as well as resolve any issues or disputes related to their expenses
- Coordinate and book travel arrangements in a cost effective and timely manner
- Answer and monitor telephone line of and act as a liaison to ensure that all calls are proper directed or routed to other staff as appropriate
- Manage other administrative functions: compose emails and letters, provide support on letter preparation and edit preparations, generate Excel spreadsheets and PowerPoint presentations, update organizational charts.
- Coordinate special projects that may be assigned (receptions, external meetings, employee celebrations, etc.)
- Any other duties that may reasonably be required
Who we are looking for in this role: - Associates degree and/or 5+ years of experience as an executive assistant; with at least 3 years supporting multiple executives (or an equivalent combination of education and experience).
- Ability to write, speak and interact clearly and professionally.
- Extremely organized. Strong multi-tasking and time-management skills.
- Can handle sensitive information with the highest degree of integrity and confidentiality.
- Expert level skill with Outlook, advanced skill with Excel, Word, PowerPoint, and an Internet browser.
- Strong analytical, troubleshooting, planning, organizing and customer service skills and abilities.
- Must be able to interact and communicate with individuals at all levels of the organization.
- Work requires continual attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines.
- Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
