About the role:
Hours: 37.5 hours per week
The HR Business Apprentice will provide essential administrative support to the HR Department, handling telephone calls, emails, and other correspondence in a professional and efficient manner. They will play a key role in supporting the HR Team, dealing with the upkeep of basic HR Records both on the electronic HR System and in electronic personnel files, assist with issuing onboarding documentation and processing of change of details.
This is a 2-year fixed-term Modern Apprenticeship. As part of this Apprenticeship, the successful candidate will be required to undertake a Scottish Vocational Qualification (SVQ) in Business and Administration at SCQF Level 6, delivered by North East Scotland College.
This is a workplace-based qualification, and the successful candidate will be expected to complete all coursework as instructed and meet deadlines set by their college assessor. The candidate must be willing to travel to the Aberdeen City Campus when required for induction sessions, exams, or other essential activities related to the qualification.
You'll gain hands on experience in a busy international business environment, develop a wide range of transferable administrative and organisational skills, and work towards a recognised qualification while earning and learning on the job.
About the team:
Reporting to our HR Team Lead, you'll join a small, dedicated HR team committed to keeping everyone at Motive connected and supporting the business in making the difference it strives to achieve. Through HR & Recruitment, our mission is to help our staff get the most out of working for the business and increase awareness of who we are as an employer. This role will play a massive part in making that happen.
And you'll be working alongside a committed and proud Motive team in the UK and globally that want to play their part in the growth of the business and support each other daily to create a positive, values driven and hard working professional environment.
Responsibilities:
People
- Adopt and promote the Motive Offshore Group People Values and ensuring their use is embedded throughout.
- Provide first level administrative support to the HR Team and employees
- To be a positive ambassador for Motive Offshore Group Ltd.
- Develop strong working relations with key stake holders - clients, colleagues etc.
Planet
- Lead by example in setting the highest possible standards in the promotion of People Values, HSEQ procedures and best practice, ensuring compliance to the Motive Offshore Group HSEQ Policy, procedures, standards and regulatory obligations.
- Immediately report all accidents, incidents, near misses or environmental concerns
- Adhere to and participate in company wide sustainability policies, procedures and initiatives as they are developed to support our Net Zero objectives.
Product
- Assisting with issuing onboarding documentation where necessary via relevant systems (Docusign, HR Partner) - and ensuring that Trello checklists are updated appropriately
- Assisting with the electronic filing of documentation, ensuring documents are filed in the correct places
- Update HR partner with basic information ensuring that all onboarding checklists are completed
- Provide basic administrative support to HR Systems Co Ordinator
- Assist HR Team with any ad hoc projects related communications / letters (with support from HR Focal points)
- Collating and issuing the Monthly HR Newsletter (with support from HR Focal points)
- Collating and issuing Long Services Awards (with support from HR Focal points)
- Collating and issuing Recognition Awards (with support from HR Focal Points)
- Answering telephone queries where necessary
- Monitor the HR inbox, ensuring that any urgent queries are escalated to the appropriate HR Focal point as necessary
- Undertake CPD and any necessary training as required by Formal Course
- Updating of training records on HR Partner, ensuring that they are categorised and recorded accurately
- Assisting teams by sending training certificates/ training certificate reports when requested
- Assisting with processing of staff benefits (eg gym memberships)
- Assist with carrying out HR Inductions to new employees
Required skills / knowledge:
- Previous experience in an office environment - however full training can be provided
- Interested in working towards a Business Administration qualification.
- Good understanding of office management principles
- Demonstrable ability to multi-task and adhere to deadlines
- Well organised with a customer oriented approach
- Excellent knowledge of MS Office
- Ability to work on own initiative
