Office & Sales Support Specialist London

We are looking for a team member to join our London office who will closely monitor the daily office operations and provide fast, reliable, and well-organized support to the sales team.

This role includes managing internal administrative processes, handling documentation and correspondence, preparing and delivering invoices and proforma invoices, and coordinating demos, meetings, and other organizational activities following sales meetings.

Since communication with teams in Turkey will also be required, knowledge of Turkish is considered an advantage.

Qualifications

  • At least a Bachelor s degree
  • Minimum 5 years of experience in similar roles
  • Advanced English proficiency (written, spoken, and reading)
  • Knowledge of Turkish is preferred
  • Proficiency in MS Office applications
  • Strong attention to detail in documentation, correspondence, filing, and reporting processes
  • Strong communication skills and ability to work effectively in a team environment
  • Detail-oriented, organized, and responsible
  • Ability to work in a fast-paced environment
  • Experience in invoicing, proforma invoices, and sales support processes

Job Description & Responsibilities

Office and Administrative Processes

  • Manage document organization, archiving, and filing processes
  • Monitor office supply inventory and place necessary orders
  • Track and manage mail and courier services
  • Forward daily purchasing requests to the relevant departments and follow up on the process
  • Prepare, direct, and report daily correspondence
  • Handle official and private institutional correspondence
  • Review employee leave forms and overtime records according to workflow, prepare Excel lists, and submit them to the accounting department
  • Scan and digitally archive employee leave forms, reports, and confidentiality agreements in an organized document system

Sales Support Processes

  • Prepare, organize, and deliver quotations, invoices, proforma invoices, and related documents based on information provided by the sales team
  • Handle documentation, correspondence, and follow-up processes after customer meetings
  • Coordinate demos, meetings, and visit arrangements following customer meetings planned by the sales team
  • Provide fast and organized operational and documentation support required by the sales team
  • Support the daily coordination between office operations and the sales team
