Job Description

We are seeking a dedicated and organised full-time Band 4 Senior Administrator to join our Westminster Talking Therapies department, supporting our teams across both the North and South hubs.

Essential skills include proficiency with Excel spreadsheets, email systems, and in-house databases. You will need to write clear, tactful, and professional emails in excellent English, and possess the ability to effectively prioritise a busy workload with multiple demands.

The primary responsibilities of this post will be to manage the department's central inbox, handle telephone calls, maintain our database, and serve as a helpful first point of contact for queries from stakeholders, staff and patients.

Main duties of the job

This role is central to delivering competent and compassionate patient care by providing comprehensive administrative support to our team of qualified psychologists, assistants, trainees, and interns.

  • Answer the main telephone line and respond to emails promptly and professionally.
  • Accurately input data and coordinate responses to Subject Access Requests (SARs).
  • Maintain accurate patient records and ordering departmental supplies via the CNWL electronic procurement system.
  • Submit requests for departmental works and take full ownership of your own workload, demonstrating initiative and reliability.
Working for our organisation

The postholder will be employed by CNWL NHS Foundation Trust and will be eligible for a statutory 13 week probationary period.

Person specification Qualifications
  • Good command of written and spoken English; English at GCSE or other equivalent qualification.
  • Educated to A level standard or equivalent qualification.
  • Recognised qualification in the use of computer software e.g. Microsoft Word, Excel, Access.
Experience
  • Significant experience as a senior secretarial/administrative role within the NHS.
  • Experience of working within the NHS, including handling patient records and departmental supplies.
Skills
  • Comprehensive working knowledge of Microsoft Office software - Word, Excel, Powerpoint and Access.
  • Numerate and able to provide statistical data clearly and accurately.
  • Good organisational skills and ability to work on own initiative.
  • Speedwriting/Shorthand.
