Reporting directly to the Project Executive or Senior Project Director, you will lead the day-to-day activities required to deliver the project, including direct management of Project Managers and Coordinators. Establish and administer project change procedures with the cost management consultant. During the construction phase, be based on site to monitor the construction progress and the quality of the works, to proactively resolve risks and issues that arise, and escalate matters that require more immediate attention. Support the review and verification of consultants' and contractors' payment applications. Maintain necessary documentation for all contracts, insurance certificates and warranties. Develop and manage the project risk register as well as the tracking of mitigation measures. Support the attainment of necessary statutory approvals, permits and certificates to enable the safe opening, occupation and use of the venue. Coordinate and manage project close-out activities including final acceptance of equipment, testing and commissioning and the compilation of all operational and maintenance manuals. Manage the procurement and safe delivery of scope being delivered directly on behalf of the client. Financial and Resource Management Plans and reports on project financial plans and budget expenditure and forecasting to Programme Managers and Head of Programme Management; manages smaller budgets. Maintains clear and up-to-date records on all financial transactions as per audit requirements. Ensures relationships with vendors are maintained and payments are processed on time and in accordance with FABS on-line system (SAP Finance) guidelines. Project Management Responsible for data management including timely data entry, quality assurance of data, undertaking basic analysis of monitoring data, and developing progress reports to meet needs of funders. Supports internal compliance such as due diligence, records management, data collection and storage. Manages grants administration, selection and evaluation and procurement processes. Manages events-based components and trainings within a programme, e.g. on safeguarding standards Supports the project / programme manager in implementing diversity mainstreaming action plans and contributes to it. Relationship and Stakeholder Management Manages relationships with clients/partners/stakeholders at appropriate level. Manages relationship with vendors and suppliers and holds them to account for delivering services. Role specific knowledge and experience: The main essential knowledge and experience points that we are looking for you to evidence are: Experience of working in a supporting role on complex programmes or projects in the arts and/ or creative industries. Administrative and financial administration experience. Good understanding of basic concepts of monitoring and evaluation, and how they are central to good project management.
