The Role The Office & Client Services Coordinator will sit at the heart of the business, providing essential administrative and client-facing support. The successful candidate will become a key point of contact for non-technical enquiries while supporting the wider team with scheduling, administration, purchasing and client account management. Key Responsibilities Manage the shared inbox and carry out initial call triage Route technical calls directly through to the appropriate engineers Handle overflow calls relating to non-technical enquiries Coordinate diaries, appointments and scheduling Order office supplies, hardware and other equipment Support the invoicing process alongside the finance function Carry out general office administration Help ensure the smooth and efficient running of the office Maintain accurate records and ensure administrative processes are kept up to date Client & Account Management The role will also have an important responsibility for supporting and maintaining existing client relationships. Responsibilities will include: Acting as the first point of contact for client renewals and contract queries Monitoring client satisfaction and identifying potential churn risks Coordinating client check-ins and quarterly reviews Maintaining accurate client records within Halo Liaising with Pax8 regarding licensing renewals Following up on renewal activity and ensuring key dates are not missed Supporting the wider team in maintaining strong, long-term client relationships The Ideal Candidate The successful candidate is likely to be an experienced administrator, office coordinator or client services professional who enjoys working in a busy environment and takes pride in keeping things organised.
