Use technical knowledge and understanding of warranty procedures to enable effective, economic and correct application of manufacturer's warranty and goodwill systems. Maintain customer information on specific Retailer programmes. Ensure correct submission of warranty/goodwill claims are made to manufacturer. Ensure that all jobs passed for warranty/goodwill submissions are accurately invoiced and costed and where deviations occur suggested improvements and corrective actions are made to the Service Manager / Operations Manager. Document all warranty, goodwill and recall work as per manufacturer's requirements and Retailer policy. Ensure requests for advice/consideration are made to manufacturer in special cases where normal procedures do not allow claims to be submitted. Review warranty reporting systems with the Service Manager / Operations Manager and initiate improvements where necessary. Examine outstanding warranty debts on the weekly and daily reports and implement action to ensure their recovery. Ensure the defect reports and quality control reports are completed correctly by the workshop staff following manufacturer's guidelines. Review warranty publications on Desktop daily for latest information and to ensure understanding Ensure all clerical functions within the warranty department are carried out in accordance with company policy and that Service Advisers and workshop staff complete relevant records accurately when a warranty situation occurs on a vehicle. Maintain records of warranty submissions, credits, and customer contributions towards goodwill claims. Liaise with Parts Department to ensure all parts replaced under warranty are retained for the correct period of time, are labelled and made available to manufacturer on request. Check credit notes for accuracy and pass to Accounts for processing. Apportion the costs for disallowed warranty claims and returned parts to the appropriate source. Administer warranty policy in the best interests of the Retailer, the manufacturer and the customer aiming for profitability and efficiency. Inform relevant Retailer personnel of changes in warranty / goodwill procedures. Carry out internal warranty audit and present findings to manager Operate within the law at all times. Ensure all health and safety legislation and internal procedures are followed. Operate at all times within company policy.
